General Terms and Conditions for Races Organized by OK Räven with Partners
GENERAL
These General Terms and Conditions (“General Terms”) apply to races organized by “we”, “our”, “us”, referring to the Orienteering Club Räven, which organizes the Sätila Trail. By registering for any of the races we organize (“Race/s”), you agree to our applicable terms for registration and participation in the Race. A valid registration for the Race occurs only after you have registered and we have received the registration fee, creating a binding agreement between you and us. We reserve the right to transfer our rights and obligations under these General Terms to another party.
To register for a Race, you must be at least 18 years old. If you are under 18, you must have parental approval to enter into an agreement. If you register someone other than yourself for the Race, you are responsible for ensuring that this person has read and agrees to our terms just as you have.
Your starting spot is personal, and you may not allow anyone else to run the Race in your name or place. You are responsible for ensuring that your username and password for our registration system are not disclosed to anyone else and do not fall into the wrong hands.
It is not permitted to participate in the Race using aids such as wheelchairs, hand cycles, bicycles, inline skates, or strollers unless expressly stated otherwise.
We have the right to unilaterally change these General Terms. Any changes will take effect no earlier than 30 days after the amended General Terms have been communicated to you by being made available on the Website. If we make significant changes to these General Terms, you have the right to terminate the agreement you have entered into with us.
BOOKING, PRICES & PAYMENT
Information about the Race, choices, prices, and payment methods applicable to your registration is provided on the Website when you register, in the booking confirmation sent to you, and on Your Pages in the registration system we use. Before you submit your registration, we ask you to carefully review and ensure that the information provided in your registration is correct.
When registering, you must provide your name, personal identification number, address, phone number, and email address. By submitting your registration, you certify that the information you provide about yourself and any other registered participants is true and correct.
All prices listed on the Website include VAT. Our prices and fees may change due to circumstances beyond our control, such as if our partners adjust their prices. We therefore reserve the right to adjust our prices and fees. We also reserve the right for any printing and typographical errors as well as for sold-out items. Payment is made through the registration system we use. Terms for this are available on the registration page. Fraud and false orders will be reported to the police.
BOOKING CONFIRMATION
Once you have paid the full registration fee, you will receive a booking confirmation sent to the email address you provided. We ask you to check that the information in the booking confirmation is correct. If not, please contact us at the respective race’s email address.
If you do not receive your booking confirmation within a week of payment, please contact us at the above-mentioned email address or phone number.
OUR RESPONSIBILITY
We take no responsibility for injuries resulting from breaches of these General Terms. By agreeing to these General Terms, you acknowledge that you participate in the Race at your own risk and that we therefore are not liable for any injuries you may incur while participating in the Race.
OUR OBLIGATIONS
We reserve the right to cancel one or more Races or change the Race’s course or start time:
- Due to circumstances beyond our control, including but not limited to government actions or inactions, newly enacted or amended legislation, labor market conflicts, blockades, fires, floods, or major accidents,
- If we or the authorities determine that this is necessary for your and other participants’ safety or health, or
- If the Race is not granted the necessary permits from the authorities to allow us to hold the Race.
- Due to extreme weather conditions that may jeopardize participants’ safety.
We have no obligation to refund the registration fee to you or to pay damages or other compensation if one or more Races must be canceled or due to changes according to points 1-4 above.
CANCELLATION AND CHANGE OF BOOKING
Your registration for the Race is binding, and the registration fee is non-refundable. In the event of illness or injury, you may be eligible for compensation from your insurance company if you are insured under Folksam’s Startklar insurance or equivalent insurance from another company at the time of registration.
PERSONAL DATA PROCESSING
We will process your personal data upon your registration for the Race. We are responsible for the handling of personal data and are thus responsible for ensuring that all processing is in accordance with the new EU General Data Protection Regulation (GDPR).
The primary purpose of processing your personal data is to manage your registration, conduct timing, register your results, administer your account and any training log, and to make the Race a celebration for you as a participant. To do this, we may involve partners, who will only process your data according to our instructions. We will also process your personal data to provide you with relevant information and offers from us or our partners. To the extent that it relates to information and offers from any of our partners, such partners may also process your personal data.
The personal data we will process includes those you provide directly or indirectly through your registration for the Race, such as first and last name, address, personal identification number, email address, mobile number, result time, photographs, and TV recordings in which you appear.
By agreeing to these General Terms, you consent to our processing of your personal data as described in these General Terms. You have the right to receive information about what personal data we have about you and how it is used, free of charge, once a year. Requests should be made in writing to us at our above-mentioned address. You also always have the right to request corrections of inaccurate personal data and to withdraw consent given.
Who handles your personal data?
Your personal data is handled by OK Räven and companies we collaborate with to conduct the Sätila Trail, including EQ Timing, ITRA, and other partners that need personal data in connection with the race. Third parties will delete your personal data once their assignment for the race is completed. Information stored by third parties includes result lists, registration lists, and scoring.
MARKETING
We may save and process your personal data for marketing purposes as described above for up to two years after your customer relationship with us has ended.
We or our partners have the right to contact you, as a registrant for the Race, with information or offers. If you have provided your mobile number or email address, you consent to us or our partners sending information or offers to that number or address.
We will publish some of your personal data such as name, result time, photographs, and TV recordings in which you appear, on the internet and in newspapers both as news and advertising material without you demanding specific compensation.
COMPLAINTS & CLAIMS
For any complaints, please contact us at the race’s email address. Sports events on a specific date or during a specific period are exempt from the right of withdrawal according to the Act (2005:59) on distance contracts and contracts outside business premises. If you have a cancellation insurance policy, please contact the insurance company directly.
DISPUTES
We always strive for our customers to be satisfied with our services. If you are dissatisfied, we ask you to contact us, and we will do our best to resolve the situation. If you are still not satisfied, you can contact the National Board for Consumer Complaints, Box 174, 101 23 Stockholm, or the EU Commission’s online platform for dispute resolution. We do not commit to participating in alternative dispute resolution procedures but will take a final position on this matter in the event of a dispute.
